Participants in all events organised and run by Embodying Self must review, understand and agree to the following terms and conditions. Additional terms and conditions may be applicable to specific events and that information will be available on the booking page before any payment is due or made.

  1. We warmly welcome everyone to our community at Embodying Self, regardless of race, ethnicity, gender identity, sexual orientation, background, or experience. We create spaces with deep respect for each individual’s unique journey and we are committed to fostering an environment where all feel seen, valued, and included. Our work is rooted in connection, openness and learning from one another, and we truly believe that diversity enriches our shared experience. Whoever you are and wherever you come from, you are welcome here exactly as you are.

  2. All participants in Embodying Self events must be aged 18 years or over.

  3. Places on events will be allocated on a first-come, first-served basis assuming eligibility from the day prior to the event start date.

  4. Specific information about individual events, including the event name, content, location, structure, trainers, price and payment conditions will be confirmed in a specific event email prior to booking. It is the responsibility of participants to make sure they understand this information and meet the conditions for attendance and payment as applicable to the specific event.

  5. Participants in events may be required to share some or all of the following information depending on the nature of the event: preferred name, full legal name, current physical address, email address, date of birth, special access or other specific requirements, and a summary of professional qualifications, completed training(s) and relevant work experience.

  6. Embodying Self maintains a secure digital record of participants’ personal information as well as recording their attendance at events for the purposes of providing certificates of completion. This information is stored securely and will only be shared with authorised Embodying Self staff. We may want to share participants’ names and email addresses with other participants in the same event. Participants may request that their email address is not shared with other participants by notifying the event administrator in advance of the event start date, however, we will need to share your preferred name with other participants.

  7. Embodying Self reserves the right to withdraw a participant’s place in the event if payment is not received by the due date unless prior alternative payment arrangements have been made with the event administrator.

  8. If applicable, to receive a certificate of completion, participants must attend the minimum number of hours as outlined in the event information. Failure to meet the attendance requirement means we will not issue a certificate of completion.

  9. Certificates of completion are provided in digital form (PDF).

  10. For in-person events, Embodying Self is not responsible for any travel or accommodation expenses incurred by participants. Participants are strongly advised to obtain insurance to protect against the possibility of needing to withdraw from the event whether by their choice or due to changes enacted by Embodying Self.

  11. Embodying Self reserves the right to cancel an event if absolutely unavoidable. In the event of cancellation prior to the start of an event, a full refund of event fees, including deposit, will be provided. In the event of cancellation during an event, a pro rata refund of event fees, including deposit, will be provided.

  12. Embodying Self reserves the right to change the date(s) and location of an event if absolutely unavoidable. In the case of a change prior to the start of an event, a full refund of event fees, including deposit, will be offered if the participant wishes to withdraw. In the case of a change during an event, a pro rata refund of event fees, including deposit, will be provided.

  13. Embodying Self reserves the right to change the trainer(s) delivering the event if absolutely unavoidable. In the case of a change, the replacement trainer(s) will be of at least equivalent capability and there will be no refund unless the event cannot be completed and has to be cancelled.

  14. Embodying Self reserves the right to change the blend of in-person and online event elements if absolutely unavoidable. In the event of a change prior to the start of the event, a refund of event fees, including deposit, will be offered if the participant wishes to withdraw. In the event of a change after the start of the event, a pro rata refund of event fees will be offered if the participant wishes to withdraw.

  15. Recording of any part of the event by participants is strictly prohibited, however, Embodying Self reserves the right to record event content for internal review and professional development. For some events, we may request permission in advance to share content with the event participants for personal educational use only and not for sharing or distribution under any circumstances. In this case, you will be given the option to remain off camera and silent in order to avoid identification.

  16. We expect all participants to engage respectfully and professionally throughout the event. Harassment or disruptive behavior will not be tolerated and may result in removal from the event.

  17. In the case of any concerns or disputes, participants should contact Embodying Self to address concerns directly using the following email info@embodyingself.co.uk.

  18. Embodying Self reserves the right to decline an application to attend an event for any of the following reasons: incomplete or inaccurate application information; demonstrated conduct or behaviour that conflicts with the ethical standards of our event environment; or any legal, health, or safety concerns that would prevent the applicant from participating in a manner consistent with the standards of a professional event. All decisions are made with the aim of maintaining the integrity, safety, and quality of the experience for all participants.

  19. Embodying Self is committed to protecting the privacy and confidentiality of all participants in our events. Given the sensitive nature of the material shared during our events, including personal and professional experiences, we require that all participants respect the confidentiality of their fellow participants. Any information shared by participants within the context of our events should not be disclosed outside the event environment without explicit permission. We take reasonable measures to ensure that the event space, whether in person or online, is secure, but participants are also responsible for safeguarding the privacy of any sensitive information they share. Violation of these privacy terms may result in removal from the event.

  20. The Embodying Self events deliver educational content about therapeutic models but are not a substitute for training as a therapist, coach or other associated profession. The events are classified as professional development and are therefore not a substitute for personal therapy or mental health care. Participants should be aware that sensitive personal material may arise during the event, and while we aim to create a supportive environment, we are not responsible for emotional or psychological distress that may occur. It is the responsibility of each participant to seek appropriate support if needed. Participants in our events acknowledge and agree that any personal or emotional challenges experienced either during or after attendance at an event will be managed by a therapist, supervisor or other qualified individual in the participant’s own time and at their own expense.

  21. Embodying Self reserves the right to amend these terms and conditions at any time. Participants will be informed of any relevant changes.
